Scanning Documents on the Xerox WorkCentre 7345

The quickest, easiest and most powerful way to get documents scanned is to use one of the Xerox WorkCentre 7345 machines. There is one currently on the third floor in BP 3222.

The 7345 has an Automatic Document Feeder (ADF) for multiple sheets and can scan both sides of document pages as needed in either black and white or color. It can email the scanned document directly to you and/or any number of other email addresses. It will by default combine all the pages in the document into a single PDF. It has many options to do much more.

To start, go to one of the Xerox Workcentre 7345 machines. The display should appear similar to the image below. If the LCD display happens to be dark (off), press the Energy Saver button to turn it on.

If the Select a Service screen is not currently displayed on the LCD as shown in the picture, press the Services button (lighted in the picture).

Press the E-mail button on the LCD display. The display should change to the E-mail screen shown in the picture below.

Press the New Receipient button. The display should change to the Receipient List screen as shown below.

Using the electronic keyboard on the LCD display, enter in a destination email address. Press the +Add button. Repeat for as many email destinations as needed.

Press the Close button in the upper right of the screen. The E-mail display should re-appear, but with all the recipients listed.

Place all the documents you wish scanned in the feeder, printed side up.

By default the 7345 will Auto-Detect if the sheet is color or B&W. You may select all Color, all Black & White or all Grayscale under the Color Scanning options.

Under 2 Sided Scanning options select 1 Sided (default) 2 Sided or 2 Sided with Rotate Side 2 as needed.

Under Original Type options Photo & Text is the default, indicating your document has both images and text in it. Select Text if it has only text or Photo if it is only an image as desired.

Under Scan Presets you can select output other than the default PDF (such as JPEG) if you press the More button first. There is also a button for OCR (Optical Character Recognition) to attempt scanning your text only document into a real text file (.rtf). This is a not a perfect process, but can do 90%+ of the work of key-entering a document you need made into an electronic form you can edit.

When finished with all settings, press the Start button to the right of the LCD panel. Refer to first picture to locate the Start button.

After your documents are all scanned, don't forget to remove them from the tray.

You are done. Go back to your workstation and retrieve your scanned document from your email. It should come as an attachment (PDF, JPEG, etc.).
